Important Notes and Frequently Asked Questions

[Important Note] How to Correct Incomplete Documents

If any of your submitted documents are incomplete, a notification from the university administrative staff indicating the need for correction will be displayed on the Scholarship Web Application System. Please follow the instructions to submit or correct the incomplete documents. If the documents remain incomplete, you will be at a disadvantage in the selection process. Therefore, please check the Scholarship Web Application System frequently after submitting your application.

[Important Note] How to Check Your Application Status

Once your application documents have been accepted by the university, your selection status will be displayed as [Under review] on the “Scholarship Application/Recipient Status” screen of the Scholarship Web Application System. If your status does not change to [Under review] several days after mailing and you have not received any notification from the university administrative staff via the Scholarship Web System, please first confirm the delivery status with the delivery service provider. Then, please contact the Student Life Section of the Office of Student Services, Faculty of Science and Technology, five business days or more after your documents have arrived at the Yagami Campus. If your documents do not arrive at the Yagami Campus by the deadline, your status will not change to [Under review].

Q. I have already applied for other scholarships and would like to revise the content of the application form and selection sheet that I submitted at that time.

A. If you wish to make revisions to what you have already submitted, please print out the finalized application form and selection sheet again, make corrections or additions in red ink to the relevant sections, and submit them along with your other application documents. Additionally, if there has been a change in your family's financial situation since your initial application, you may submit additional necessary documents based on your latest financial situation.

Q. I cannot gather all the required documents by the deadline.

A. If there are documents you cannot prepare by the deadline, please first submit all the documents you have gathered by the due date. In place of the missing documents, please submit a letter of explanation (in any format) stating what the missing documents are and their expected submission date. Submit the missing documents promptly as soon as they are ready. Please be aware that depending on the nature of the missing documents and the status of their submission, it may affect the selection process or delay the scholarship payment.

Q. How should privately financed international students apply?

A. Privately financed international students should apply using the designated application form. The three documents required for the application are as follows (also available on the International Center website). Please do not use the “Application Form” and “Checklist” intended for Japanese students.

Please combine the following application documents into a single PDF file and name the file exactly as follows: “[Application] Scholarship Name (Student ID Number Full Name).” You may only upload application documents once per scholarship. Please double-check your documents before uploading to ensure there are no omissions, missing documents, or other errors. In the unlikely event that you need to replace a document, please submit it by email to the Student Life Section of the Office of Student Services.

Please note that some scholarships on the list are not open to privately financed international students, so please check the application guidelines carefully.

① Scholarship Application Form

For Designated Donation Scholarships, use the “Application Form for Designated Donation Scholarships (General Recruitment).”

② A copy of the two-page spread of your bank passbook showing your name and account details.

③ Essay on a specified topic (handwriting and pencil are not permitted; check the application guidelines for the topic; the template can be downloaded from the scholarship guide; some scholarships do not require an essay).

Q. (For graduate students only) I cannot get a signature and seal from my academic advisor on my List of Research Achievements by the deadline.

A. Please send your completed List of Research Achievements as an electronic file to your academic advisor and ask them to sign and seal it, and then send it back to you as a PDF file for the time being. Print out the PDF and submit it with your other documents within the application period.
