Application Documents
All applicants are required to fully submit the latest versions of the documents below. Every document must be issued within 3 months prior to your application.
All of the documents must be written either in Japanese or in English. A Japanese or English translation is required if the text is written in any other language.
1. Photo
Must be taken within 3 months prior to submission.
Must be submitted in the JPG format (.jpg).
This photo will be used for your Certificate of Eligibility (COE) and student ID card.
Please read this instruction carefully before you upload your photo.
Please apply with a different photo than the one used for your passport (unless you just renewed one), since it would be too old.
Selfies and retouched photos are NOT acceptable.

3. Recommendation Letter
Must be written by a faculty member (e.g. professor, associate professor, lecturer, etc.) who can comment on your academic ability and be signed and dated by the faculty member.
Must be submitted in the PDF format (.pdf).
Only ONE recommendation will be required.
DO NOT use the student’s nickname.
The letter written by a TA (Teacher’s Assistant) or re-using the one from your internal selection will NOT be accepted.
There is no specific format for the recommendation letter, but including the university letterhead will be preferable.
The recommender may send us the letter directly. If so, please request your exchange coordinator to send its PDF copy to us via e-mail.

4. Official Transcript (full academic record from your home university)
Must be your full academic record from your home institution including grades and grading scale.
Must be submitted in the PDF format (.pdf).
Any unofficial transcripts will NOT be accepted.
5. Copy of your Passport (The photocopy of the page with your personal information and photo)
Your passport must be valid for at least 3 months counting from the application deadline.
Please make sure that the details are fully visible upon copying.
Must be submitted in the PDF format (.pdf).
If your passport is due to expire during your exchange, it is your responsibility to renew your passport beforehand.
Japanese nationals are also required to upload their Japanese passport.
If you are a Japanese national, make sure to fill out your name in Japanese via the online application system.
6. Certificate of Health
Must be completed and signed by the physician. NOT by the student.
Must be submitted in the PDF format (.pdf).
Please follow the sample below.
Submit the form below to the physician. Do not use the sample.
In order to prevent the outbreaks of infectious diseases such as Measles, Mumps, Rubella, and Varicella (Chickenpox) , we strongly recommend all students to get vaccinated before the enrollment.
7. Certificate of Financial Support
Select which financial resource(s) you will provide from a)-d) below and submit the required documents. The certificate must show the following expected cost of your stay, which is at least JPY 130,000 (or equivalent in local currency) per month.
A copy of your monthly bank statement will NOT be accepted.
Spring semester: JPY 520,000 (JPY 130,000 × 4 months)
Fall semester: JPY 650,000 (JPY 130,000 × 5 months)
Full academic year: JPY 1,430,000 (JPY 130,000 × 11 months)
a) Personal funds
A bank statement or a bank letter with an official letterhead which indicates the type of account, the current balance and type of currency.
The student’s name must appear in the bank document. (Click to see sample)
b) Family funds
A “Letter of Support” in English or Japanese that is signed and dated by the family member who intends to support your expenses.
AND
A bank statement or a bank letter with an official letterhead which indicates the type of account, the current balance and type of currency.
c) Sponsoring organization funds
A letter in English or Japanese from the sponsoring organization that indicates the amount of funds and the duration of the award.
d) Loan funds
A copy of the approval letter indicating the amount of the loan.
8. COE Application
International students without any residential status in Japan need the Certificate of Eligibility (COE) to apply for the College Student visa.
Use the format below, NOT the samples.
Must be submitted in the EXCEL format (.xlsx).
Not required for Japanese nationals.
Please read the below samples carefully upon filling out the COE application form. The form is three pages long.
